Retention Specialist Responsibilities

This position will enter and maintain data in various databases, create graphs, create spreadsheets, and complete other data monitoring responsibilities. Ensure compliance with the DBHDID Risk Management Protocol. Complete Incident investigations (all levels) and assist in the implementation and monitoring of a risk management system at Bingham Gardens. The Data Specialist will work with DBHDID to ensure facility Key Indicator data is reported according to Strategic Action Plan expectations.

  • Directly supports the interdisciplinary clinical team in collecting data.
  • Type, distribute, and mail various forms of operation correspondence as needed.
  • Assist departments with specialized data projects to include creating databases, training staff to use databases, and generating requesting data reports.
  • Maintain records and databases.
  • Assist in creation, implementation and monitoring of various databases to monitor facility and individual trends.
  • Monitor and track various monitoring forms and maintain reports as needed.
  • Complete other monitoring and tracking duties as assigned.
  • Assist as needed in coordination of Key Indicator, Clinical Service Review and other Strategic Action Plan related data.
  • Assist as needed in Quality Management activities and functions.
  • Participate in Risk Management Committee.
  • Assist in processing of information related to all types of incidents occurring at Bingham Gardens.
  • Assist as needed with any follow-up training and monitoring of the implementation of the Risk Management system at Bingham Gardens.
  • Conduct incident investigations as needed, independently.
  • Make all required notifications timely.
  • Conduct interviews according to training/requirements.
  • Write and submit Final Investigative Reports timely.
  • Participate in various performance improvement projects/Root Cause Analysis.
  • Actively participate in needed performance/quality improvement projects to include analysis of data, etc.
  • Participate in Bingham Gardens RCS process as assigned by the Executive Director/designee.

Specific Requirements

At least one-year experience preferred in Incident Investigations and Risk Management. Must possess basic computer skills and knowledge of various systems, especially Microsoft Work, Excel and Access. Must be able to demonstrate knowledge of job skills and complete orientation and other assigned training classes. Must complete certification by Labor Relations Alternatives, Inc., in Conducting Serious Administration and related topics is preferred. Must have valid Driver’s License for state of residency. Must maintain certification in CPR and Safety Care Training throughout employment.

Work Environment and Physical Demands


Work will primarily be indoors. May complete some work outside completing special projects or assisting with individuals. Must be able to bend, stoop, push, pull, reach, sit, stand, and walk for periods of time. Must be able to give and receive verbal and written instructions. Must possess sufficient hand/eye coordination to operate office equipment, including but not limited to phone, computer, calculator, copier or typewriter. Must be able to lift up to 50 pounds on occasion (two-person lift if suggested for any weight over 50 pounds).

  • Physical Demands: Must be able to utilize proper body mechanics while lifting up to 50 pounds (two-person lift is suggested for any weight over 50 pounds). Must be able to bend, stoop, push, pull, reach, sit, and walk for periods of time. Must have fine vision, sustained vision, and peripheral vision. Must possess sufficient eye/hand coordination to operate office, adaptive and household equipment.
  • Work Environment: Light and ventilation as found in typical home or office setting. Hazards may exist if the employee fails to use proper body mechanics when lifting of transporting an individual or item, if vehicles are not operated safely, or if proper techniques are not used when intervening with individuals. The possibility of bloodborne pathogens exists if universal precautions are not followed.
