As a(n) Cash Disbursements Mail Specialist you will: 

The Accounts Payable Mail Specialist calls for an individual who is able to maintain a high level of organization and attention to detail.  This position focuses on daily handling, researching, and processing of Accounts Payable and Payroll mail.  

Essential Responsibilities/Job Duties

  • Proficient use of computers and data entry 
  • Assists in Positive Pay and ACH daily procedures
  • Maintains and orders stock for Accounts Payable 
  • Provides periodic customer service via phone and/or email to operations and vendors
  • Scans invoices electronically into computer imaging system
  • Special handling for company PCards
  • Opens, researches, codes, and distributes daily Accounts Payable and Payroll mail 
  • Prepares and logs files for offsite storage
  • Maintains AP operations by following policies and procedures; reporting needed changes. 
  • Performs other duties as assigned

Position Requirements

Education, Experience and Certification

  • GED or High School Diploma required
  • Associates degree or Technical Training, preferred. 

Knowledge, Skills and Abilities

  • Strong personal computer skills, including Excel and MS Office tools, spreadsheet, and database usage.
  • Ability to utilize new tools and technologies in a rapidly changing environment. 
  • Strong problem resolution skills with high attention to detail, timeliness, and accuracy.
  • Ability to multi-task.
  • Ability to effectively and professionally communicate (verbal and written) with all levels of personnel internal and external to the company. 
  • Capability of working responsibly with highly confidential information and of maintaining composure under duress. 
  • Exercises independent judgment in carrying out the details of the work according to applicable regulations, company policies and procedures.

Working Conditions

  • Typical office environment. 
  • Daily lifting and carrying items up to 50 lbs. 
  • Frequently twisting or bending at the waist or reaching overhead. 
  • Frequently using near vision for reading and computer use
  • Frequently listening to and talking with team members either in person or by telephone
  • Frequently sitting at a desk or workstation using a computer display, keyboard, and mouse
