Client Service Specialist Responsibilities

Must be able to perform in a fast paced environment with multiple priorities. This position requires superior organization skills, the ability to work with diverse individuals both within the company and with partners in the project.  The incumbent must be proficient in Microsoft Word and Excel and have the ability to compile summary reports from the input of a number of field offices.  The incumbent must have excellent oral and written communication skills. Experience in proper telephone procedure and etiquette.

Essential Job Responsibilities:

  • Answer all inbound phone calls to general line and 1-800 number
  • Returns voicemails in 24 hours 
  • Answers inquiries by clarifying desired information; researching, locating, and providing information and documenting actions taken
  • Resolves problems by clarifying issues; researching and exploring answers and alternative solutions; implementing solutions; escalating unresolved problems
  • Keeps equipment operational by following established procedures; reporting malfunctions
  • Updates job knowledge by participating in educational opportunities 
  • Enhances organization reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments
  • Answers and/or forwards emails received in Childcare General Email 
  • Processes online wait list applications daily 
  • Fulfills requests by clarifying desired information; completing transactions; forwarding requests
  • Other duties as assigned

Specific Requirements

  • 2 to 3 years of experience as an Administrative Assistant, Customer Service Representative, or Call Center Representative or an equivalent combination of education and experience. 
  • Must demonstrate strong client focus, customer service, and people skills.  Must exhibit solid verbal communication, active listening, and phone skills. Must have proven abilities in building relationships, problem solving, and multi-tasking data entry skills.

Education

  • High school diploma, with post secondary training in a business related field preferred.
