As a(n) Executive Assistant - IT you will: 

The Executive Assistant for Information Technology provides high-level administrative support to the Chief Information Officer and other department staff by conducting research, preparing statistical reports, handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, project coordination and scheduling meetings for IT Leaders.  

Essential Responsibilities

  • Utilization of Microsoft Office products to produce reports, memos, letters, presentations and other business files.
  • Answer phone calls and direct calls to appropriate parties or take messages.
  • Record, type and distribute meeting minutes.
  • Read and analyze incoming memos, corporate documents, records, reports, and submissions to determine their significance and plan their distribution.
  • Electronically file and retrieve corporate documents, records and reports.
  • Conducts research and prepares reports as requested (eg. Budget reports, project reports)
  • Perform general office duties such as ordering supplies and maintaining records, contacts, floor planning.
  • Coordinates travel arrangements as needed.
  • Manages expense reports as needed.
  • Abides by and demonstrates the company Mission – Vision – Values through both behavior and job performance on a day-to-day basis.
  • Responds to information requests.
  • Schedules appointments and arranges meetings. 
  • Maintains high level of confidentiality in execution of duties.
  • Assists in implementing/maintaining standardized operational processes to ensure compliance to company policies, legal requirements and regulatory mandates.
  • Adheres to and participates in Company’s mandatory HIPAA privacy program / practices, Business Ethics and Compliance programs / practices, and IT Security programs / practices.
  • Reviews and adheres to all Company policies and procedures.
  • Other responsibilities such as project coordination and participation as assigned.

Qualifications: 

  • High School diploma required 
  • Five years of administrative experience required
  • Associate’s or Bachelor’s degree preferred
  • Project Management experience preferred
  • Business Analyst experience preferred

Work Environment: 

  • This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. 
  • This is largely a sedentary role; however, some filing and lifting of boxes is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.  It may require lifting computer equipment and/or peripherals.
