Respite Coordinator/Admin Asst Responsibilities

Purpose:  To provide support services and assist in all agency foster care and adoption efforts. 

Respite Coordinator responsibilities:

  • Recruitment and hiring of respite staff.
  • Ensure new hire orientation, paperwork, training is completed prior to service delivery.
  • Maintain data entry and compliance tracking data in database.
  • Monitor licensing standards for respite providers.
  • Maintain respite provider filing system, documents and provides agency forms.
  • Completes respite approval forms pertaining to respite hours.
  • Fingerprints and submits new applications.
  • Prepares training packets as necessary.
  • Prepares Census documentation and submittal.
  • Communication efforts with supporting staff and management in emergency respite situations.
  • Provider service delivery monitoring and supervision.
  • Expirable tracking on all respite providers. 
  • Coordinate on-going Respite home inspections per agency and state compliance requirements timely.

Facilitate, track and bill Respite allocations

  • Field Respite requests and assign respite staff utilizing verification of hours, private pay and requests for additional respite protocols. 
  • Prepare billing for respite hours per timelines.
  • Prepare time sheet allocations bi-monthly and submit to accounting.
  • Interface with state representatives for all out of agency respite requests.
  • Make sure all required inspections and paperwork are completed in full prior to respite services delivery.
  • Assist in respite trainings.
  • Facilitate coverage and entertainment for children during Quarterly Support Meetings and any agency events.

Respite Provider recruitment efforts and arrange recruitment activities as assigned for district recruitment. Examples of recruiting activities may include:

  • Answer phones and communicate information about agency respite provider services to inquiring individuals.
  • Attend recruitment events for recruitment of respite providers.
  • Distribution of marketing and advertising information in various venues.
  • Field and track respite provider recruitment inquiries.
  • Respond timely to all inquiries for follow up and interest level
  • Use the screening checklist to gather information about each inquiry.  
  • Document all recruiting activities on a monthly basis.

Specific Requirements

  •  Must have the desire to provide ongoing technical supports to agency staff in their duties of providing foster homes for children with special needs.
  • Desire 5 years experience relating to clerical skills in related service field. Preferred candidate will hold an associates or technical degree, or education in business management or administrative assistant from an accredited university or college. 
  • Must be able to perform multiple tasks, have excellent organizational skills, provide the necessary phone etiquette when answering phones and is proficient in written language, grammar and punctuation.
  • Able to maintain a clear record through DCS Central Registry of any reports of child abuse or neglect.
  • Must be fingerprinted, granted and able to consistently maintain a Level One Fingerprint clearance from the State of Arizona.
  • Must attend required foster care/APTCH licensing training as required.
  • Must possess impeccable customer service skills and the ability to apply them to any situation without fail.
  • Must have the ability to communicate professionally (both orally and in writing) with co-workers/team members, families, individuals with special needs and a variety of professionals.
  • Must have working knowledge of Microsoft Office and the learning capacity to become skilled at other applications and data bases.
  • Maintain flexibility in working hours to provide coverage as needed.
  • Must exemplify exceptional time and task management.
  • Must have reliable transportation and maintain current vehicle registration and insurance, as well as a valid driver’s license.
  • Must complete all necessary paperwork/training prior to service delivery.
  • Must be able to perform the job’s essential functions required.
