As a(n) Strategic Operations Coordinator you will: 

  • Gathers, documents and prioritizes SOP requirements.
  • Consistently improves customer service delivery and increases the Program's performance and output by seeking better, smarter and more effective ways to service those customers and support the Program's strategic operating plan.
  • Develops, coordinates, prepares and helps implement project plans to support large-scale initiatives designed to radically improve operations and customer service, enabling the Program to deliver the strategic operating plan.
  • Creates tracking mechanisms for service delivery at the Program, helping establish and implement timetables, related processes and control methodologies to ensure high levels of customer service. Prepares detailed project updates for Customer.
  • Assists in developing, implementing and coordinating strategies designed to promote the improvement of customer and business customer programs and their integration across the City.
  • Conducts follow-ups to evaluate performance of corrective actions to ensure achievement of desired outcomes.
  • Performs quantitative analyses, provide qualitative input and synthesize information of various types in order to communicate status, progress, deliverable and resource requirements of all programs.
  • Develops and implements structures to keep track of staffing patterns, and ensure consistency between volume/outcome goals and optimal design for improved customer flow.
  • Oversees the development of service process blue prints, identifying and communicating internally the capacity to provide various types of services. Pays attention to creating a system whereby on-going evaluation and improvement of operational processes will be a regular, structured set of responsibilities. Conceptualizes and concertizes initiatives to enhance service delivery for all programmatic integration.
  • Creates an environment of continuous improvement and strategic alignment of Customer's technology, tools and processes with business objectives.
  • Evaluates, compares and redesigns operational processes that connect our customers with appropriate team members.
  • Creates a work environment whereby ongoing evaluation and improvement of operational processes become routine activities.
  • Identifies statistically significant variations in operating measurements and allows for appropriate management responses.
  • Maintains a hands-on approach to monitoring, training and troubleshooting Program processes.
  • Assists in developing plans, tools and systems designed to integrate and leverage all assets of the Program's service-delivery system.
  • Assists in streamlining online filing systems to be in line with operations, working closely within IT guidelines.
  • Administratively maintains accurate and complete records and correspondence as required by the Program Director and according to standards set by Customer.
  • Creates and maintains policies and procedures for Strategic Operations and assists in the training of other team members in those guidelines.
  • Works under direction of the Program Director to facilitate timely completion of tasks to sustain daily operations and complete special projects; Assists program team members as necessary.
  • Performs other duties as assigned.
  • Position Requirements

  • Bachelor's Degree from an accredited university in economics, finance, business administration, general operations management, management science, operations research, organizational behavior, industrial psychology, statistics, or a closely related field and one year of satisfactory full time professional experience including full-time executive, line management, or supervisory experience.
  • Ability to follow instructions well; adaptable, flexible and a fast learner.
  • Creative and able to meet deadlines; work well under pressure and goal oriented.
  • Work well within a team concept.
  • Strong interpersonal skills and the ability to liaise with Customer, Program and Vendor Senior Management are required.
  • Excellent, demonstrated ability to use software tools is required. At a minimum the candidate needs to be an advanced user of MS Excel, Access, Word and Visio.
  • Dominitation of project and database management concepts and project management software required.
